Basic Function:

The Office Administrator will support the day-to-day operations of our Grande Prairie office. An enthusiastic attitude and customer service oriented mindset are must haves for the position. As the Office Administrator, you will be responsible for reception duties, timekeeping, safety administration and other duties, as required.


Principle Duties:  

  • Entering and filing daily work tickets, taking great care to ensure;
    • Employee hours and Positions (bill rates) are entered correctly.
    • Employees are instructed on the proper way to complete work tickets.
    • Appropriate management approvals are obtained prior to entering tickets, as required.
    • Work Tickets are filed in a timely fashion.


  • Reception duties, including;
    • Answering phones, directing calls, and responding to inquires in a professional manner.
    • Greeting and assisting clients and vendors who visit our office in a professional manner.
    • Managing incoming and outgoing mail.


  • Safety Administration duties, including;
    • Keep the Safety Board organized and updated; distribute and post safety materials on the board.
    • Track all safety documentation; establish a collection point for all safety related documents.
    • Book and organize all third-party safety related courses and pre-employment tests.
    • Keep all safety documents filed in an organized fashion.


  • Other Administrative activities, including;
    • Manage office stationary requirements for the team.
    • Provide support for various responsibilities, such as booking travel arrangements, expense reports, managing calendars, and events arrangements.



  • 2+ years of experience in a similar administrative role.
  • Proven proficiency with the Microsoft Office Suite (Excel, Outlook, Word).
  • Experience with Microsoft Dynamics Great Plains is considered an asset.
  • Strong attention to detail and the ability to follow standard procedures.
  • Excellent communication skills; this role requires continuous interaction with all levels of the organization.
  • Proven organizational skills and the ability to prioritize.
  • Proven team player, able to maintain a positive attitude and flexible approach under pressure.
